The quick answer
Start with your current capacity, capture what is on your mind, then choose one manageable action. Actual Day brings those steps together for household jobs, personal projects and work. You can review and change the suggestions; the app does not decide what matters for you.
Actual Day is a capacity-aware daily planner: it helps you notice how much energy and attention you have, clear what is on your mind, and choose a plan that fits the day in front of you. It brings check-ins, tasks, gentle pacing, focus tools and reflection into one daily rhythm.
What does “capacity-aware” mean?
Capacity is the amount you can realistically do today. It is shaped by more than the hours on a calendar: energy, attention, sleep, sensory load, mood and existing commitments all change what a workable day looks like. A task manager can store a hundred commitments perfectly and still leave you unsure where to begin. Actual Day starts one step earlier, with the person doing the work. If you are new to the idea, read why ordinary productivity systems fail on low-capacity days. Our 15-second capacity check-in shows how to check in even without an app.
1. Begin with the day you actually have
The daily check-in asks about mood, energy, sleep and sensory comfort, and you can note triggers or anything else affecting the day. There are no correct answers, and you can edit it later if things change. Actual Day then describes the capacity available and adjusts the emphasis of the Today screen. It is not another score to improve.
If you miss a day, nothing breaks and there is no streak to repair.
2. Get mental clutter out of your head
Brain dump gives you somewhere to type or speak freely, without organising as you go. It keeps an in-progress draft in this browser. When you submit it successfully, the complete text is saved to your Journal before the app suggests possible tasks. Check the save confirmation before switching devices.
You decide what gets saved: suggested tasks can be edited, accepted or discarded. If one looks too big to start, Break it down can propose a clearer description and a handful of smaller steps. Read the walkthrough in From brain dump to one workable next step.
3. Turn tasks into a plan that can bend
Actual Day includes a full task list, day blocks and weekly planning tools. Tasks can carry priorities, due dates, estimates and smaller steps. Larger work can be paced gently towards a deadline.
The plan is a guide, not a contract. If Google Calendar or Outlook is connected, reminders and selected work can appear in the calendar you already use. Actual Day never needs your calendar password; you authorise the provider directly.
Capacity nudges are part of Actual Day Plus. When the day has room, a nudge may suggest a useful task to bring forward.
4. See one workable next step when everything feels heavy
When the check-in shows low capacity, sensory load is high or the open list has become heavy, Today can bring forward one unfinished step or one relatively quick win. The rest stays in the planner. On low-capacity days the main task area initially shows one task, while other sections of Today stay visible.
It will not fix overwhelm, but it can make starting easier. How Actual Day responds when everything feels like too much covers this in more depth.
5. Focus without turning concentration into a test
The Focus timer is a simple Pomodoro-style tool for working on one task at a time. It gives your attention somewhere to land, not a productivity test.
Routines help too: morning, afternoon and evening sequences you can turn on or off as needed.
6. Capture meetings without carrying every loose end
Actual Day Plus includes meeting capture. Record a spoken debrief after a meeting, have it transcribed and turn the useful parts into tidied notes and action items. Voice features use an AI transcription service. Read the Actual Day Privacy Policy for how recordings and transcripts are processed and stored.
7. Notice patterns without judging individual days
The Patterns area helps you review the triggers and themes that come up most across your check-ins and journal entries. It is not a clinical assessment, just a way to notice, for example, that meeting-heavy mornings or poor sleep often line up with a harder planning day.
Alongside it, the Coping toolkit has short breathing, grounding and movement exercises for moments when you feel overloaded. They are optional and are not a replacement for medical or therapeutic support.
8. Close the day instead of carrying it into the evening
From 5 pm in your device’s local time, the Today screen includes Close the day. You can record what went well and leave one priority for tomorrow. This saves a reflection; mark completed tasks separately. For a fuller routine, read the guide to ending the workday without carrying it home.
How does the Plus trial work?
Plus brings together AI Brain dump and task extraction, Break it down, capacity nudges, calendar connection and meeting capture. New accounts start with a 14-day Actual Day Plus trial. Card details are required. Check the price and terms shown at checkout, including any founder offer available to you. Unless you cancel before the trial ends, the subscription selected at checkout begins automatically. See the FAQ for more information.
Who is Actual Day designed for?
Actual Day was built by a neurodivergent founder for adults who want help with everyday life as well as work, from appointments and household jobs to business tasks. You do not need a diagnosis or a job title to use it.
It includes a low-stimulation setting that removes animations and shadows, and a choice of colour themes. It runs in a phone browser and can be added to your home screen for a full-screen experience.
What Actual Day does not do
Actual Day is a planning and reflection tool. It does not give medical advice, diagnose conditions or replace professional care. Not every suggestion will be right. You can ignore or dismiss anything it offers.
If that sounds like the support you have been missing, start your 14-day Actual Day Plus trial. Card details are required and you can cancel before the trial ends to avoid being charged.
