Check your capacity, capture loose thoughts and choose a manageable starting point. Review the plan when circumstances change, then leave tomorrow an entry point. These steps can support appointments, household tasks and personal projects as well as paid work; you do not have to use every feature every day.

A day with Actual Day follows a simple rhythm: check in before making demands, capture what is on your mind, choose work that fits, focus on one thing at a time and close the day clearly. This walkthrough is an example, not a timetable. Use the parts that help; missing a step does not spoil the rest of the day.

Starting the day: arrive before opening the task list

You open Actual Day and land on Today. The check-in card asks about mood, energy, sleep and sensory comfort, and you can note triggers or add a short observation. It takes about 15 seconds when you want to move quickly, and there are no right answers.

Say your energy is lower than expected and the morning already feels busy. Recording that does not cancel the day. It gives you a reason to make the first plan smaller than yesterday’s optimistic version. Actual Day derives a broad capacity level from the check-in and uses it to shape Today, and you can edit the check-in later if things change. Look at what today already contains

Below the check-in, Today brings together the tasks and day blocks already planned, and a calendar strip if a calendar is connected. Two meetings and a journey may leave fewer usable hours than the clock suggests.

On a low-capacity day, Actual Day keeps the initial task emphasis deliberately short. One thing can be enough. On a day with more room, Actual Day Plus may offer a capacity nudge suggesting an open task to begin. Accept it or dismiss it; the point is to help you decide, not to fill every minute.

Choose the one thing that would make the day easier

Your priority does not have to be the biggest item. It may be the action that removes uncertainty, protects a deadline or makes tomorrow easier. If the task is “make a family photo album”, use its existing steps or open Break it down and review the suggestions before saving. The first action might be “open the family photo folder and choose five photos”. That also gives you a meaningful stopping point if capacity stays low.

Use one focus block

The Focus timer is a simple Pomodoro-style timer. Choose the task, start the block and work on that one thing until the timer asks you to pause. It is not a concentration test. If your attention wanders, come back when you notice. If the task is wrong for the moment, stop and choose again.

Capture an interruption without rebuilding the plan

A message arrives with three new requests. Instead of handling them mid-focus, you open Brain dump and type or speak:

“I need to book the car service, check whether Friday’s appointment is still happening, and answer a customer’s question. I don’t yet know the answer.”

Actual Day keeps the whole entry in the Journal and suggests tasks: book the car service, confirm Friday’s appointment, check the information needed to answer the customer. The third needs thought, so it is not a five-minute reply. You save all three, bring only the first into today and leave the rest in the planner. When the day changes, let the plan respond

Your energy drops after an unexpected call. Edit the morning check-in to match.

If the day looks overloaded, the app can bring one unfinished step or a relatively quick task forward. Its overwhelm card has an expandable additional list; it does not hide the rest of Today. You can also move a planned action while keeping its real deadline.

Routines, calendar and meetings

Routines hold repeatable morning, afternoon or evening sequences, such as refilling water, checking the next commitment and choosing a 20-minute focus block. Turn one off when it stops helping.

With Actual Day Plus you can connect Google Calendar or Outlook. You authorise the provider directly, so Actual Day never sees your calendar password. Add selected work to the calendar when it needs protected time, and leave flexible tasks in the planner.

After a meeting, Meeting capture lets you record a short spoken debrief. Actual Day transcribes it and tidies it into notes and action items for you to review. It is part of Plus and uses an AI transcription service; see the Privacy Policy for how recordings and transcripts are handled.

Evening: close the loop

From 5 pm in your device’s local time, Today includes Close the day. It asks what went well and for tomorrow’s top priority. Save that reflection, mark completed tasks separately, and add your own wind-down if you like. One clear first priority for tomorrow is enough. Later in the week, the Patterns area lets you review triggers and themes across check-ins and Journal entries. A pattern is information, not a verdict. Use it for small experiments, like protecting time after a recurring meeting.

And if your day looks nothing like this, that is expected. If you miss a whole day, Today simply returns to the current date when you come back.
